Managing Your Airbnb Property in Spain

Running a successful Airbnb in Spain requires more than listing a property and waiting for bookings. Between guest communication, cleaning logistics, pricing optimisation and legal compliance, it is a hands-on business. Here is what it takes to do it right.

Self-Management vs Professional Management

Self-managing works if you live near the property and have time to handle check-ins, emergencies and maintenance. Budget 10 to 15 hours per week per property during high season. If you live abroad or own multiple units, a professional management company is almost essential.

Professional managers typically charge 15% to 25% of gross rental income. Some charge a flat monthly fee, usually EUR 300 to EUR 600 per property. The higher percentage models tend to include more services: dynamic pricing, professional photography, guest screening, and 24/7 support.

Essential Management Tasks

  • Guest communication: respond within one hour to maintain high response rates
  • Check-in and check-out: key handover, property walkthrough, damage inspection
  • Cleaning and laundry: budget EUR 40 to EUR 80 per turnover for a two-bedroom apartment
  • Maintenance: handle repairs quickly to avoid negative reviews
  • Pricing: adjust rates based on season, local events, and competitor analysis
  • Legal compliance: guest registration, tax declarations, licence display

Pricing Strategy

Dynamic pricing is critical for maximising revenue. High season on the Costa del Sol (June through September) commands 2x to 3x the rates of winter months. A two-bedroom apartment in Marbella might rent for EUR 120 per night in February and EUR 280 per night in August.

Tools like PriceLabs, Beyond Pricing and Wheelhouse connect directly to Airbnb and adjust your rates automatically based on demand, competitor pricing and local events. Expect to pay EUR 15 to EUR 30 per property per month for these services.

Guest Registration Requirements

Spanish law requires all accommodation providers to register guests with the authorities. You must submit guest details to the Policía Nacional via the SES.Hospedajes system within 24 hours of check-in. Required information includes full name, nationality, passport number, and dates of stay. Failure to register guests can result in fines starting at EUR 600.

Tax Obligations

Airbnb income is taxable in Spain. Non-resident owners pay a flat 19% tax on net rental income (for EU/EEA residents) or 24% for others. You can deduct proportional expenses including mortgage interest, insurance, community fees, repairs, and management costs. Quarterly tax declarations are required using modelo 210.

Insurance Considerations

Standard home insurance does not cover short-term rental activity. You need specific tourist rental insurance that covers guest injuries, property damage by guests, and liability claims. Expect to pay EUR 300 to EUR 600 per year. Some management companies include basic insurance in their fees.

Reviews and Reputation

Your listing's success depends on reviews. Aim for Superhost status by maintaining a 4.8+ rating. Quick response times, spotless cleaning, accurate listing descriptions and a few thoughtful touches (local restaurant guide, quality coffee, good toiletries) make the difference between average and outstanding performance.
